Terms & Conditions

1. Vendor Package Inclusions

The vendor package includes: refer to the chosen booth description.

2. Payment Terms

A deposit of 30% of the vendor package fee is required at the time of signing this agreement. The remaining balance is due by January 5th. The remaining amount will be automatically deducted from the same payment method used for the first payment via the GTA Ramadan Festival Platform. The payment/deposit is non-refundable, except in cases of event cancellation by the organizers. Failure to pay in full by Jan 5th may result in forfeiture of the vendor’s booth space, and the first installment will be non-refundable. Booth prices may change without prior notice.

3. Cancellation Policy

All booth sales are FINAL and non-refundable for any reason at any time.

4. Event Setup and Breakdown

Vendors are required to set up on the day of the event, from 10 am to 12 pm. Booth setup must be completed no later than 30 minutes before the event opens to the public. Vendors must be present in their booth during all days of the event. Vendors are responsible for dismantling their booth and removing all materials within 1 hour of the event closing.

5. Booth Display

Vendors must keep their booth space clean and organized throughout the event. Booth displays must remain within the confines of the assigned space and must not obstruct walkways or other booths.

6. Product Restrictions

Vendors must sell or display products that align with the values and themes of Ramadan. No offensive or inappropriate material is permitted. The sale of alcohol, pork products, or any products not compliant with halal guidelines is strictly prohibited. Vendors must comply with all local and provincial laws regarding the sale of goods and services. Vendors must stick to their registered category and should not sell items from other categories.

7. Electrical and Power Needs

Booth pricing excludes electricity and may be available at additional cost. Vendors are responsible for supplying their own extension cords and power strips if needed.

8. Insurance and Liability

Vendors are responsible for their own insurance coverage, including general liability insurance. The GTA Ramadan Festival organizers will not be held liable for any loss, theft, or damage to vendor property. Vendors are liable for any damage to the event venue caused by their activities.

9. Marketing and Promotion

Vendors agree to participate in the promotion of the event by sharing event details on their social media platforms or websites where possible. Vendors authorize the GTA Ramadan Festival organizers to use their business name and logo in event marketing materials.

10. Code of Conduct

Vendors and their staff must conduct themselves professionally at all times. Harassment, discrimination, or any other inappropriate behavior will not be tolerated and may result in removal from the event without refund.

11. Force Majeure

The GTA Ramadan Festival organizers are not liable for any delay or cancellation due to circumstances beyond their control (e.g., natural disasters, government regulations, pandemics, etc.).

12. Amendments

The GTA Ramadan Festival organizers reserve the right to amend these policies at any time. Vendors will be notified of any changes.

13. Governing Law

This agreement shall be governed by and construed in accordance with the laws of the province of Ontario, Canada. Any disputes arising under this agreement will be subject to the exclusive jurisdiction of the courts of Ontario.

Vendor Agreement

By signing this agreement, I, the undersigned vendor, agree to abide by all policies and terms listed above. I acknowledge that failure to comply with these terms may result in my removal from the GTA Ramadan Festival without a refund.
